ABOUT HARVEST HAUS

Entering its 8th year, Harvest Haus is Western Canada’s largest Oktoberfest event. Specializing in authentic European beers and local crafts (brewed in a European style), Harvest Haus proudly serves all libations including spirits, cider, and is launching our new ‘winegarten’ section! 

There is nothing quite like the energy of Harvest Haus. With 5,000 total attendees, each of the four ‘sittings’ holds 1,250 guest, has 5 hours of joyful merrymaking and is boisterously hosted by our legendary ‘Burgermeister’ and a cast of supporting characters. From impromptu 900-person conga lines in lederhosen to our legendary beer pong olympics - the Stein Games, Harvest Haus promises a premium experience with a casual vibe. Our guests can’t help but cut loose and high-five as they go on a journey of taste, sight and sound - each one walking out with a big smile and great memories.


THE ENTERTAINMENT

Harvest Haus goes well beyond the authentic Bavarian cuisine and the German biers. Part of what makes it so unique is each sitting’s complete hospitality and interactive entertainment program. Starting with a keg-tapping ceremony led by the ‘Burgermeister’ along with a cast of colourful and often hilarious characters, a traditional Harvest Haus sitting is like Oktoberfest remixed. From traditional Oompah bands and Alpenhorns to high energy DJ sets featuring iconic sign-a-long crowd favourites, there are few atmospheres this much fun.


VIP TABLES + CORPORATE HOSPITALITY

These are the hottest tickets in the Harvest Haus Halle! The first to sell-out each year, the VIP section has expanded to have the ‘Beste” seat in the Halle. Complete with an exclusive area and guaranteed seating, the VIP section offer the true, “table rows” Oktoberfest feel. Also, our VIP section has its own signature custom Harvest Haus edition beer - collaboratively designed just for the experience.

Since its inception, Harvest Haus has maintained a consistent bar program of focusing on European brands. In fact, it is the biggest European and local craft (European-style) beer and libations festival in the West! From craft biers straight from Germany to the international brands our guests all love, this event puts its focus on curating a select 16 bars to quench the thirst of thousands of people. Each partnership comes with a guaranteed custom-branded bar space with options for larger scale onsite activations and incremental SKUs. Depending on the partnership level, additional bar space and distribution can be amplified.

$5,500 per 6ft bar space. Only 16 bar spaces are available. 

Each space includes a custom-branded banner (in the Harvest Haus brand aesthetic) with your company logo on it. Additional banners and SKUs are available upon request. The Harvest Haus brand team makes a concerted effort to drive win-win value for all of our brand partners with an interest in driving both sales and visibility.

Beer will be purchased by harvest haus from the BCLDB or directly from the brewery. all unused kegs will be returned. we aim to purchase over 250 kegs in 2021.


BEVERAGE PARTNER OPERATIONAL FAQ 


STAFFING

In order to ensure proper product support and pour, beverage partners are to supply their own, SIR certified staff. Either internal representatives or external brand ambassadors are permitted to pour. Harvest Haus will provide beverage ‘Back of Haus’ support staff including bussers, keg runners, and inventory management. Need help staffing? Just let us know. 

DRAFT TOWERS

Harvest Haus will provide a 2-tap draft tower and power to each bar section. There is 2 SKU limit per bar space, however two taps of the same SKU is possible. Harvest Haus will purchase all kegs and return unused kegs at the end of the event and supply cold storage for all beverage products. Please provide or specify any special European coupler requirements.

PRODUCT POURING

Harvest Haus will purchase packaged product for last two hours of operation on Sunday, October 10th.

No fresh kegs will be tapped after 8pm on Sunday, October 10th to avoid product waste. Harvest Haus will ensure that there is enough partner product onsite to last the entire event.

All beverage product inventory will be digitally accounted for through our POS management system. There will be a potential penalty incurred by partners and exhibitors if the variance is too great between revenue and product pour usage. As part of responsible pouring and liquor license management, the event maintains a strict policy of ‘no free drinks’ and should this type of activity be flagged, the booth will be closed for the duration of the sitting.

DIGITAL TOKENS AND PURCHASES

Harvest Haus will sell digital tokens known as Gülden. Each beverage partner exhibitor will redeem tokens for drinks. Harvest Haus sets the price for each beverage. 

BRAND ACTIVATIONS

Harvest Haus is one of the most experience-focused ‘liquid to lips’ events for beverage alcohol brands in British Columbia. It is high volume, high energy, and at its core is a joyful celebration around the cultural drinking of alcoholic beverages. This is an audience that is ready to engage and have fun. As such, brand partners are encouraged to add their own flair! Each bar space will be 100% customizable (within the footprint) to allow each brand to fully offer a brand experience for the consumers purchasing their beer. 

SALES VOLUME

An immense amount of product is purchased during this event. As such, the revenue and quantity of the purchased product will heavily subsidize the sponsorship cost of a bar-space. Please note that consumer habits are unpredictable and we do not guarantee any amount of each particular beer is sold.

SPONSOR TICKETS

Each sponsor partner will be allocated 6 complimentary tickets to the Harvest Haus and Sunday Hospitality Industry event. They will be e-mailed to each sponsor partner at least two weeks prior to the event.

BRAND AMBASSADOR / EXHIBITOR BADGES

Each booth will be given 3 exhibitor passes for working staff. These passes will be valid for all Harvest Haus sittings. Passes will be distributed to staff upon exhibitor check-in on Thursday/Friday before the events begin.

BAR STAFFING

All brand sponsors and partners must provide their own staff to effectively and efficiently pour and represent their product. If your company needs assistance staffing your bar, the Harvest Haus team does have a preferred brand ambassador staffing agency they can connect you with. Brands are also responsible for managing product inventory in collaboration with the Harvest Haus beverage and operations team.

PRODUCT

Normal ‘Special Event Permit’ purchasing rules apply at these events. All products that will be sampled at these events must be purchased from a BCLDB retail liquor store, BCLDB store 100 or, for products produced in BC, have a Doc 60. Any and all product that is used at Harvest Haus by an exhibiting company will be purchased/reimbursed by the Harvest Haus organization to the exhibitor company. 

DRINK SIZES

All drinks are served in Harvest Haus 500ml steins.

BIER

All bier that is sold in BC in kegs must be poured from a keg. Closer to the end of the event, to avoid massive wastage, Harvest Haus will determine at the time if another keg should be tapped or if an exhibiting company should be pouring from bottles/cans. All of our draft beer pours are 500ml - in our signature Harvest Haus steins.

SPIRITS

All drinks using spirits (straight spirits/spirit cocktails) are to have a 1oz limit of spirits as its base.

RTD/CIDER

Any packaged product is opened and poured into official Harvest Haus steins. All draft cider is poured to our 500ml line.

INSURANCE

Each exhibiting company Exhibitor must obtain, at its own expense, a minimum of $2,000,000 Commercial General Liability Insurance including liquor liability, product liability and contractual liability coverages, and file with Hopscotch Management a Certificate evidencing such coverage naming “FEASTER MEDIA, inc.” as additional insureds. Such Certificate shall be filed with festival management no later than 30 days before the festival date and shall provide festival management with a minimum of 30 days prior written notice of cancellation or material change or non-renewal of the Exhibitor’s policy. Use of the phrase “endeavour to send” in such notice will not be accepted.

This should not carry any additional cost to your company. We encourage each exhibitor to copy and paste the latter paragraph and send it to his or her insurance broker so the certificate is exactly as needed.
